Business Development/Executive Coordinator

The Business Development & Executive Coordinator plays a critical role in supporting the firm’s growth, leadership effectiveness, and day-to-day operations. This position blends business development coordination, project support, and executive assistance to ensure that strategic initiatives, client pursuits, and internal priorities are executed with clarity, organization, and consistency.

This individual will serve as a key connector across business development, marketing, and leadership, helping translate ideas into action and keeping priorities moving forward.

What You’ll Own

Business Development Coordination

Support the planning, tracking, and execution of business development efforts.

  • Maintain and manage CRM data, including contacts, leads, and opportunity tracking

  • Track and report on leads, pursuits, and pipeline activity

  • Coordinate event attendance, registrations, and follow-up activities

  • Support involvement in industry organizations and networking efforts

  • Assist in identifying and advancing strategic BD initiatives

  • Coordinate with marketing on content development (social media, campaigns, collateral)

  • Help ensure consistency in messaging, positioning, and follow-through

  • Conduct light research on clients, competitors, and opportunities

Project Coordination (Consulting Services Team Support)

Provide direct coordination and support for strategic initiatives and ongoing projects.

  • Take clear, organized meeting notes and track action items

  • Manage schedules and timelines for key initiatives and projects

  • Coordinate meeting logistics (agendas, materials, follow-ups)

  • Attend internal and client meetings as needed to support execution

  • Prepare meeting materials, presentations, and summaries

  • Support strategic planning efforts, including workshops and internal sessions

  • Ensure accountability by tracking progress against priorities

  • Help organize and streamline workflows and processes

Executive & Administrative Support

Enhance leadership efficiency by managing administrative and coordination tasks.

  • Manage calendars, scheduling, and meeting coordination

  • Coordinate travel, event registrations, and logistics

  • Assist with inbox organization and follow-up tracking (as needed)

  • Support preparation for speaking engagements, workshops, and events

  • Handle general administrative tasks to keep operations running smoothly

What Success Looks Like

  • CRM and lead tracking is accurate, up-to-date, and actionable

  • Business development efforts are organized, visible, and consistently followed through

  • Meetings are well-prepared, efficient, and result in clear next steps

  • Leadership feels supported, prepared, and able to focus on high-value work

  • Strategic initiatives move forward without unnecessary delays

  • Communication across BD, marketing, and leadership is aligned and consistent

Required

  • Highly organized with strong attention to detail

  • Comfortable working across teams and coordinating multiple stakeholders

  • Strategic thinker who can also execute at a tactical level

  • Discretion and professionalism when supporting leadership

Preferred

  • 5+ years of experience in business development, marketing coordination, project coordination, or executive support

  • Experience in the AEC industry or professional services environment is a plus

  • Familiarity with MS Office, Asana, Dropbox, Adobe InDesign

  • Experience supporting leadership or managing competing priorities
